HIPAA
T-C Transcription provides a fully HIPAA compliant medical transcription service.
T-C Transcription addresses each of HIPAA’s important security elements in the following
manner:
Access Control: All access to Patient Health Information is controlled
by username and password. Each access is logged in T-C’s database. The access
is granularly controlled based on the role of the user. All application network
communications are encrypted using 128-bit SSL encryption.
Accountability: All Patient Health Information access is logged.
This includes searching, viewing, downloading, editing, etc. The logged history
keeps track of users, action performed, and time of action.
Data Backup: T-C Transcription backs up all data daily. Critical
data is backed up hourly. Backups are moved offsite for further data protection.
Data Storage and Physical Access: Access to T-C Transcription’s
data center is strictly controlled. Access to the data center can only be attained
through several secure access doors. Security systems are in place to prevent
unauthorized access. Redundant HVAC and onsite backup generator are used to
maintain a stringent uptime demanded by our customers on a 24/7/365 basis.
Data is stored on servers featuring raid-5 storage sub systems.
Administrative Procedures: T-C Transcriptions has established a
HIPAA Compliance Officer. The HCO sets policies for security and access.
The HCO also consults on an ongoing basis to assign activities and responsibilities
to ensure compliance.
All employees are required to sign a confidentiality agreement as an employment
requirement. T-C enters into a business associate agreement with clients to
comply with all HIPAA requirements and safeguards.
